Adding Subscriptions

There are several ways to add subscriptions to Tracktron.

Manual Entry

The simplest way to add a subscription:

  1. Click "Add Subscription" from your team dashboard
  2. Fill in the subscription details:

Required Fields

  • Name: The service name (e.g., "Salesforce", "HubSpot")
  • Cost: The subscription cost
  • Billing Cycle: Monthly, quarterly, or annually
  • Start Date: When the subscription started

Optional Fields

  • Category: Group subscriptions for reporting
  • Owner: Team member responsible for this subscription
  • Tags: Custom labels for filtering
  • Notes: Any relevant information
  • Contract End Date: For annual contracts
  • Vendor Contact: Sales rep or support contact

Tips for Accurate Tracking

Include All Costs

Don't forget to include:

  • Base subscription fee

  • Per-seat/user charges

  • Add-ons and modules

  • Overage charges


Choose the Right Billing Cycle

Select the actual billing frequency. If you pay annually, select "Annually" and enter the full annual cost. Tracktron will calculate the monthly equivalent.

Set Renewal Dates

Always set the renewal date if known. This enables:

  • Renewal reminders

  • Budget forecasting

  • Cancellation windows


Assign Owners

Every subscription should have an owner—the person who:

  • Justifies the expense

  • Manages the vendor relationship

  • Reviews usage and renewals
